Settle transactions form is used to mark the payments for settlement in vendor payments journal in Dynamics 365 FO. The settlement of transactions would help us identify the payment reference against the invoice(s), and taking our correct ageing balances.
We can encounter a situation where the invoice may not appear in the Settle transactions form during the payment journal entry trying to settle the payment against the open invoice.
The first assumption in such case would be that the invoice might have been fully settled against another payment. It becomes little tricky after verifying it’s not the case. The invoice is not settled against any payment and remains in open status.
I have encountered such situation when a user reported the invoice imported as part of the opening balance is not visible in the settle transactions.
The culprit for this situation was the empty field in Approved check box and Personnel number fields in the invoice general tab. Once the approved is check marked yes and personnel number is filled, the settle transactions shows the invoice in question.
To make the approval of invoice, follow the steps below
Go to Accounts Payable | All Vendors. Search for the desired vendor. Click Transactions under the vendor tab
Opening the transactions will show the list of transactions. Check for the invoice causing the problem in the settlement. Once the invoice is identified, go to the general tab highlighting the invoice
Save the transaction and go back to Vendor payment journal. The transaction will be fine now for settlement.
